Step by step

  1. Step 1: Watch for the counteroffer email

When TEAM Solutions counters, your hotel's users get an email saying your response is needed.

  2. Step 2: Open the RFP

    RFP Inbox

Open it from the email, or from RFP Inbox, where the row has a Respond button.

  3. Step 3: Review what changed

The negotiation thread shows every round and what changed in it. The latest round is marked Your turn when it is waiting on you.

  4. Step 4: Accept, Counter or Reject

Accept shows exactly what will print on the contract before you confirm. Counter lets you answer the terms. Reject ends the negotiation.

  5. Step 5: Fix your own mistake

Click Revise Submission to correct a room count or rate. It is there until your proposal is accepted.

How a negotiation works

A negotiation goes back and forth in rounds on the RFP page. Your proposal is the first round. TEAM Solutions can accept it or counter, and each counter waits for the other side to accept, counter or reject.

  • Accept closes the negotiation on the latest round. Before you confirm, the dialog shows What prints on the contract: the rooms, rates and terms exactly as your contract will carry them.
  • Counter answers the terms with your own values.
  • Reject ends the negotiation.

Revise Submission is for your own mistakes

Revise Submission corrects the numbers you sent, whoever's turn it is, until your proposal is accepted. If TEAM Solutions has an open counter with room changes when you revise, your revision answers it, and TEAM Solutions reviews your new numbers.

Common questions

I submitted the wrong room count or rate. Can I fix it?

Yes, until your proposal is accepted. Click Revise Submission on the RFP page, correct the numbers and submit. TEAM Solutions then reviews the revised numbers.

Can I change my room counts or rates in a counter?

No. A counter from your side answers the terms, such as commission, rebate or the cutoff date. To change your own room counts or rates, use Revise Submission instead.

Can anything change without my OK?

Room counts, rates or terms that TEAM Solutions proposes in a round apply only if you accept that round, and your own numbers change only when you revise them. One exception: before your proposal is accepted, TEAM Solutions can remove an extra room type you offered that the RFP did not ask for.

What happens after acceptance?

Accepting generates your contract with exactly the rooms, rates and terms shown, and sends it for signature. TEAM Solutions signs first, then your hotel's signer.

Can we keep negotiating after the response due date?

Yes. The response due date does not stop a negotiation. Accept, Counter and Reject only go away once the RFP has closed.

Accept is greyed out and says Confirm your hotel profile first. Why?

Your hotel profile was built for you and is not confirmed yet. Accepting creates your contract, so it waits for a confirmed profile. Choose Review profile in the banner at the top of the page, check the details and click Confirm, then accept.

A declined negotiation was reopened. What does that mean?

TEAM Solutions can reopen a negotiation that was declined by mistake. You get an email with the reason and a Review & Respond button. The last offer is open again, and when it is your turn, Accept, Counter and Reject are back on the RFP page.
