Review an event opportunity
Open an event your chain was sent to see its dates, venues and requested rooms, and which of your properties are near the venues.
Step by step
Step 1: Watch for the opportunity email
When TEAM Solutions sends an event's RFP to hotels, everyone in your office gets a New Event Opportunity email. Select Your Hotels in the email opens the event.
Step 2: Open the event
Events
Open the event from Events, from Open Events Awaiting Action on your dashboard, or from Action Items.
Step 3: Check the dates
The cards at the top show the event dates, the requested stay window, when proposals are due and the guest booking cutoff. The two deadlines are in Eastern time.
Step 4: Check the venues and the requested block
Venues lists where the event takes place. Requested room block lists each room type the event asked for, with the number of rooms.
Step 5: Review your chain's properties
Your chain's hotels on TEAM Solutions show their distance to the nearest venue and their RFP status. Off-platform chain properties lists the rest of your directory, nearest first. The map shows the venues and your properties.
Step 6: Export the RFP details
Click Export RFP details to download the RFP as a PDF, plus a CSV of the key dates, venues and requested rooms, ready to share with a property.
Your hotels' RFP status
Each of your chain's hotels on TEAM Solutions shows one of these on the event page:
- Not invited: the hotel is not on this event's RFP. Only these can be put forward.
- Invite pending: the hotel is on the RFP, and TEAM Solutions has not sent it yet.
- Invited: the hotel has the RFP and has not answered.
- Responded: the hotel has answered, with a proposal or a decline.
- Contracted: the hotel has a contract for the event.
For the detail behind Responded, find the hotel on RFPs. See Respond to RFPs for your chain's hotels.
Built to share with your properties
The event page shows logistics only. Commission, rebate, reward point and fee terms never appear on it or in its export, so you can forward the PDF and CSV to a property weighing the event. Negotiated terms show on your RFPs and Contracts pages, where you work a hotel's RFP or follow its contract.
Distances and the map
Distance is the straight-line distance in miles from a property to the nearest venue. A property or venue without a location on file shows N/A, and in the off-platform list those properties sort last.
The map shows the venues, your chain's hotels on TEAM Solutions and the off-platform properties that have a location. On a large directory the map shows only the nearest off-platform properties; the table under it lists them all, with search and brand and state filters.
When you know which properties fit, see Put properties forward for an event.
Common questions
Why don't I see an event?
You see an event once TEAM Solutions sends its RFP to hotels and includes your office, or when one of your chain's hotels is already on its RFP. An event whose RFP went out before your office was set up shows only in that second case. TEAM Solutions can also leave an office out of a particular event.
Why are commission and rebate not shown here?
By design. The event page and its PDF and CSV export leave out commission, rebate, reward point and fee terms, so you can share them with your properties. Negotiated terms show on your RFPs and Contracts pages.
Can I send the export to a property?
Yes, that is what it is for. The PDF and CSV give a property the event's dates, venues and requested rooms, without commission, rebate, reward point or fee terms.
Does Responded mean the hotel said yes?
Not always. Responded covers any answer, including a decline. Open RFPs to see each hotel's own status, such as Submitted, In Negotiation, Accepted or Declined.
