Hold rooms for your team

Coaches and team managers can hold rooms at an event hotel, then share one link so each family books and pays for its own room.

For guests and familiesUpdated

Step by step

  1. Step 1: Click Hold rooms for my team

Find it at the top of the hotel list (on a phone it reads Hold rooms), or use Hold for my team on a hotel card. It shows while booking is open on events that offer team holds.

  2. Step 2: Fill in your hold

Choose the hotel, room type, first night, check-out and number of rooms. Enter your team or group name, your name and your email, then click Request hold.

  3. Step 3: Confirm by email

Open the email we send you, click Confirm & Hold Rooms, then click Confirm my hold on the page that opens. Nothing is held until you do, and availability is checked at that moment. The link works once and expires after 48 hours.

  4. Step 4: Share your team's booking link

Copy the booking link from the page you see after confirming, or from the email that follows, and send it to your team. Bookings made through it use your held rooms.

  5. Step 5: Each family books and pays

Each family opens the link, picks a room from your hold and pays for its own first night, just like a regular booking.

  6. Step 6: Keep an eye on your email

You get a daily update on days when teammates book, a reminder if nobody has booked yet, and a heads-up before the hold releases.

Hold limits

  • One hold can cover up to 20 rooms, or fewer if the hotel has fewer left on your busiest night. The form shows how many you can hold.
  • One email can hold up to 30 rooms in total for an event, unless the event sets its own limit.
  • A hold lasts up to 10 days unless the event sets its own length, and never past the hotel's booking deadline. The form shows how long holds last for your event.
  • Each event also caps the total room nights all teams can hold at once, so holds can run out before rooms do.

When the hold ends

Rooms nobody booked go back on sale for everyone. Rooms your team already booked stay booked. Anyone who opens your link after that sees a note that the hold has ended and can still book from the rooms that are left.

Track your hold

After you confirm, Track your block live opens a page that shows who has booked and how many rooms are left. Sign in, or create a free login, with the email you used for the hold. You do not need an organization.

Common questions

Does holding rooms cost anything?

No. Holding rooms is free. Each family pays for its own room when it books from your link.

Why don't I see Hold rooms for my team?

It shows only while booking is open, and only on events that offer team holds. It is also hidden when you opened a team's hold link, so you book from that hold instead. Ask your event organizer if you expected it.

A teammate says the hold ended. What now?

The hold expired, and the rooms nobody booked went back on sale for everyone. The booking page says the hold has ended and shows regular availability, so your teammate can still book any room that is left.

Requests not confirmed within 48 hours are cancelled, and nothing was held. Request the hold again from the event's booking page.

Where can I see my hold?

Use Track your block live on the page you see after confirming, or View your block in the email that confirms your hold. Sign in, or create a free login, with the email you used for the hold to see who has booked and how many rooms are left. You do not need an organization.

It says Availability changed. What happened?

Rooms ran out between your request and your confirmation, so the request was cancelled and nothing is held. Request a new hold with fewer rooms or different nights.

It says holds for this event have reached their limit. What now?

The event caps the total room nights that teams can hold at once, and that cap is reached. Contact your event organizer to reserve rooms, or have each family book directly from the booking link.

Can I pay for all of my team's rooms myself?

Yes. Book several rooms in one checkout and enter the guest staying in each room. Holding rooms is for teams where each family books and pays on its own.
