What the report shows
The impact report sums up what your event brought to its host city, in four parts.
- Measured: room nights booked and stayed, the busiest night booked and its rooms, hotel guests (adults and children when the booking has them), the average stay and guests per room, guest nights, lodging spend at the nightly rates before tax, and the lodging tax guests paid at booking.
- Hotels: each hotel's rooms, nights booked and stayed, guests and lodging spend.
- Visitors: out-of-town and local guests, guests with no home ZIP on file, your out-of-town attendance and the day visitors.
- Estimated: visitor spending on food and drink, retail, local transport and entertainment, direct spending with the visitors' lodging, and the lodging tax hotels charge on the rest of each stay. This section has its own dashed border and an Estimate badge, with its assumptions listed under it.
The report counts every room booked at your signed hotels, staff rooms and rooms a hotel booked directly included. Cancelled rooms do not count.
How visitors are counted
A guest is out of town when the billing ZIP code given at checkout is outside the local area. The local area is the ZIP codes that share their first three digits with your venues (with the hotels' ZIP codes when the venues have none), unless TEAM Solutions set it for your event. The report shows the local area it used.
Visitors are every hotel guest except the local ones. Guests with no ZIP on file count as visitors, so until bookings carry ZIP codes the report counts every hotel guest.
When you add your out-of-town attendance, the report counts the out-of-town people who did not stay in a hotel (out-of-town attendance minus out-of-town hotel guests) as day visitors. Local residents are never counted as visitors.
How the estimates work
Each spending category is a daily amount per visitor, which TEAM Solutions enters for your event, times the visitor days. A visitor day is one visitor guest for one night, using the nights the hotels confirmed once every hotel has, and the nights booked until then. Each day visitor adds one visitor day. A category with no daily amount reads Not set and stays out of the totals.
Direct spending adds the lodging spend of the visitors' rooms, so local guests count in neither part. Lodging spend, the average stay and the lodging tax on the rest of each stay switch from the nights booked to the confirmed stays at the same time as the visitor days.
Downloads
Download PDF gives a one-page summary with the same figures and assumptions as the page. Download CSV lists every figure with its section (Measured, Hotels, Visitors, Estimated or Assumption), ready for a spreadsheet. Both are built from your bookings when you click, and neither includes guest names, ZIP codes or addresses.
Common questions
Which numbers are measured?
Everything under Measured and Hotels comes from your bookings and the hotels: room nights, guests, the busiest night booked, the average stay, lodging spend and the lodging tax paid at booking. Under Visitors, the guest counts come from the bookings, and total attendance and day visitors come from the attendance entered for your event. Only the Estimated section uses assumptions.
Why does Room nights stayed say Pending?
After the event each hotel confirms its stays: no-shows, early departures and longer stays. Room nights stayed appears once every hotel has confirmed. Until then lodging spend, the average stay and the estimates use the nights booked. After that they use the confirmed stays, and a no-show counts the first night it forfeited in lodging spend. At a hotel that takes the full stay at booking, a no-show counts every booked night in lodging spend, because the guest paid them and the hotel keeps them.
How are out-of-town guests counted?
From the billing ZIP code the guest gave at checkout, compared with the local area: the ZIP codes that share their first three digits with your venues. Guests with no ZIP on file (older bookings, staff rooms and rooms booked directly with a hotel) still count as visitors.
Can I see where my guests live?
No. The report shows counts only. Guest ZIP codes and addresses stay with TEAM Solutions.
Who sets the daily spending figures?
TEAM Solutions enters them for your event, ideally from the host destination, and the report prints them with their source. Contact TEAM Solutions support to add or change them.
Does the report apply an economic multiplier?
No. It shows direct spending only: the visitors' lodging measured from your bookings plus the estimated visitor spending.
