How your rebate is calculated and paid

After the event, hotels reconcile their stays, then TEAM Solutions calculates your rebate and pays it to your connected Stripe account.

For event organizersUpdated

Step by step

  1. Step 1: Your event ends

Until your event ends, the Earnings Summary on your event page shows a projected rebate based on current bookings. It changes as guests book and cancel.

  2. Step 2: Hotels reconcile their stays

Each hotel confirms every reservation: stayed, left early, stayed longer or did not show. Once all are done, your event moves to Completed and an admin of your organization gets an Event Completed email.

  3. Step 3: TEAM Solutions calculates your rebate

    Earnings

Your rebate comes from each hotel's contract terms and the reconciled reservations. Earnings then lists the payout as Pending Approval.

  4. Step 4: Your payout is sent

Once TEAM Solutions approves it, the payout goes to your connected Stripe account, Earnings shows it as Paid and your organization's primary contact gets a Payout Sent email. Stripe then pays it out to your bank.

  5. Step 5: Follow it on Earnings

    Earnings

Earnings shows Total Earned, Pending, and each payout with its room nights, rebate per night, amount and status.

Projected, then final

While your event is live, the Earnings Summary on its Overview shows a Projected Rebate, the number of confirmed bookings and room nights, and your rebate per night. A Payout Breakdown by Hotel card shows the Estimated Payout for each hotel. These are estimates from current bookings: they move as guests book and cancel.

After the event, each hotel reconciles its reservations, and the final rebate comes from those reconciled reservations. On a completed event the card shows the Total Rebate and the payout status.

Example

A hotel's contract for your event sets a rebate of $5 per room night. Guests book 200 room nights there, so the projection shows $1,000. If guests cancel some of those rooms before the event, or the hotel reconciles some stays as no-shows or early departures, the final rebate can come out lower than the projection.

What never earns a rebate

  • Cancelled bookings.
  • Staff comp rooms, which are left out of revenue, rebate and payout figures.

Payout statuses on Earnings

  • Pending Approval: your rebate is calculated and waiting for TEAM Solutions to approve it.
  • Approved: approved and waiting to be sent.
  • Paid: sent to your connected Stripe account.
  • Failed: Stripe could not complete the transfer. TEAM Solutions can send it again once the problem is fixed.

Common questions

When is my rebate paid?

After your event is completed, which happens once its end date has passed and every hotel has reconciled every reservation. TEAM Solutions then approves your payout and sends it to your connected Stripe account.

How is my rebate calculated?

From the rebate per room night in each hotel's contract and your guests' reservations at that hotel, once the hotel has reconciled them. Cancelled bookings earn no rebate, and staff comp rooms never do.

What is the projected rebate on my event page?

An estimate from current bookings, shown in the Earnings Summary on your event's Overview while the event is live, with an estimated payout for each hotel. It changes as guests book and cancel, and the final amount is set after the hotels reconcile.

What if my Stripe account is not connected?

Your payout cannot be sent until Payment Settings shows Connected. It waits as Pending Approval: finish your Stripe setup and TEAM Solutions can send it.

What does Failed mean on Earnings?

Stripe could not complete the transfer. Your organization's primary contact gets a Payout Issue email with the reason, and TEAM Solutions can send the payout again once the problem is fixed.
